EXECUTIVE COMMITTEE MEETING MINUTES

Saturday, 2 August 2003

VENUE: PUKEKOHE INDIAN COMMUNITY HALL, PUKEKOHE.

Meeting commenced at 1.25pm.


 

Present Members: Prithipal Singh, Ashok Darji, Ratilal Champaneri, Kishor Morarji, Amrit Vasan, Ishvarbhai Rambhai, Naginbhai G. Patel, Harshad K Patel, Balubhai Mistry, Jerambhai Dullabh, Bharatbhai Bhana, Nanu (Paul) C. Patel, Parshotam Govind, Suresh Ramji & Madanjeet Singh Bange.

Life Members: Jagdishbhai Natali, Chotubhai Sima, Thakorbhai Parbhu, Shantiben Parbhu, Maganbhai Ranchhod, Harbans Singh Randhawa, Bhuladas Bhakta, Ravjibhai Uka.

1 & 2. Welcome: Host President, Bharatbhai Bhana from Pukekohe Indian Association welcomed NZICA Executive members, Delegates and Life members. Bharatbhai briefed the members on today’s events and expressed his view on the fruitful and smooth runing of today's meeting.

NZICA President, Prithipal Singh welcomed all the members to Pukekohe. President Prithipal Singh requested all members to stand and to observe two minutes silence.

3. Apologies:Dayalbhai Kesry, Ganges B. Singh, Bhukhanbhai Parbhu, Paul Singh Bains, Mohan Mistry, Champaben Patel, Hasmukh Chhagan & Parbhubhai Prema.

4. Minutes:
The Minutes of the last Executive Committee meeting hosted by Bay Of Plenty(Rotorua) Indian Association on Saturday the 7th of June 2003 at Gandhi Hall, Gibson Street, Rotorua tabled and read by General Secretary Ratilal Champaneri.

Corrections & Additions were made as follows:
1. To delete Ganges B Singh's name from Life members attendee list.
2. To correct Sarwan Singh's name under apologies.
3. Page 1 under welcomes the 2nd sentence to correct word " patience ".
4. Page 2 to add Ramonbhai Wallabh's name in under correction item no 5.
5. Page 2 under correspondence item 2 Letter no 13 sentence should read Pub Charity - Application lodged for donation of $20,000 with Pub Charity which was sponsored by Beant Singh Jador.
6. Page 3 Historical book progress report to correct name should read Dr Jacqueline Lackie.
7. Page 3 under Ram Lila last sentence to add " and gratuity payment ".
8. Page 5 Naginbhai G Patel gave a detailed report on Wider Representation.

The minutes were adopted as a true and accurate record of proceedings following the above corrections was made to the minutes.

5. Matters Arising out of Minutes:

Jagdishbhai Natali suggested checking with the High Commissioner of India,Wellington office whether Credit Card payments would be accepted by the High Commission office.This suggestion was also supported by Bharatbhai Bhana.

6. Correspondence:

Inwards:
1. Letter no 33 from Museum of New Zealand-Te Papa- “Aainaa”– read.

2. Letter no 39 - From Bay of Plenty - Hasmukh Chhagan - Immigration Visitor Visa matter.Letter was passed on to Immigration Sub Committee to be dealt with.

3. Letter no 41 - From Wellington - Mohanbhai Mistry re publication of Historical Book. Letter was forwarded to Historical Book Committee.

4. Letter no 30 - Change of Human Rights Act 1993.

5. Letter no 38 - from High Commission of India, Wellington advising on requirements to Host Ram Lila show. Copy of letter was requested by Manukau Indian Association, Country Section Indian Association. Ram Lila show to be hosted by Auckland Indian Association & Wellington Indian Association.
Manukau and Pukekohe & Waikato and Country Section Indian Association shown interest in organising combine Show.

Naginbhai G Patel suggested that NZICA should set up the accounts for the Historical Book project. Also must remind the people about their pledge that they had made at the AGM. $1001 received from Naginbhi G Patel towards historical booklet project.

8. Historical Book Progress Report:
The progress report on Historical Book was presented by Thakorbhai Parbhu. The Historical Book Committee met on 8th of July 2003 and discussed the following points.
1. Available data for the book.
2. To prepare and planning a budget for the book.
3. What is required from the branches.
4. The latest constitution to be registered asap with the Registrar of Incorporated Society.
5. Gave an out lined on Brochure.

Harbans Singh Randhawa enlightened members that the Country Section have shown a very keen interest towards the Historical Book and have submitted quiet a few amount of material towards the book.

Bharatbhai Bhana mentioned that the Pukekohe is very much involved in collating the information from their 50th Jubilee publication.

Auckland Indian Association, Wellington Indian Association and Central District Indian Association have already sent a news letter and are in the process of collecting more information. Manukau Indian Association is seeking the relevant information and collecting required data within their membership.

From Bay of Plenty(Rotorua) Indian Association, Kishor Morarji submitted relevant information dating back to 1935 and gave it to Thakorbhai Parbhu.

Maganbhai Ranchhod mentioned the name of Dr Jacquline Leckie and her involvement with Indian Community in India and Indian people living abroad. Maganbhai suggested engaging Dr Jacquline Leckie as a aditor and co-author of the Historical Book.

9. Ram Lila:
Detailed report on Ram Lila was presented by Harsadbhai K Patel.The group of 30 performers with their costume arriving in Auckland on 25th of August 2003 and departing from Wellington on 9th of September.

Hosting branch must provide accommodation, transport, lunch dinner etc to all artists from India. Estimated cost to host the show is $25000.00. Auckland Indian Association is hosting 3 nights of show between 28th to 31st of August 2003 and Wellington Indian Association to host two days show from 7th of September 2003. Tickets sale would be approx. $15 per person.

Manukau Indian Association is thinking about hosting the show in conjunction with Pukekohe Indian Association.

Meeting Adjourn for afternoon tea break at 3.25pm and re convene at 3.55pm.

Naginbhai G Patel is very happy to help Auckland Indian Association in preparing of the brochure for Ram Lila show, and also happy to assist any branch association for hosting the show.

Ashokbhai Darji mentioned that we may need a co-ordinator from the High Commission. and suggested to liasing with Harsadbhai K Patel.

10. Sub Committee Reports:

1. Youth co-ordinator:
Bhratbhai Bhana mentioned about having some form of annual events for the youth including give some awards for their achievements during the year.

2. Immigration:

To date there is no Immigration meeting is being held by the Immigration Sub Committee.NZICA to write a letter to Ganges Singh.After a lengthy debate it was decided by the members to delegate Mr Harbans Singh Randhawa to sort out the matter with Immigration Committee.

3. Health & Welfare:
Ishvarbhai Rambhai read out the report on Health and Welfare.
Balubhai Mistry raised a concern about the abuse of Indian Women's and mentioned an article published in Manukau local news paper. This was passed on to the Social and Welfare Committee.
Madanjeet Singh Bange mentioned about the portability on Superannuants.Maganbhai spoke on workshop by Work and Income in Manukau area. Try to educate their staff to help Indian People.
Meeting adjourn between 4.40pm - 5.25pm. For represantations on Vishwa Dharma Prasaar Yaatra by Pravinbhai Patel – Pukekohe.
Pravinbhai Patel addressed the meeting and enlightened the members of NZICA on Vishwa Dharma Prasaar Yaatra began in 2001 and to be held in Auckland on 5th of October 2003 at Ericsson Stadium. Free entry to everyone. Pravinbhai also spoke on World is one family and on Hindu Vibhusan Award guideline.
Meeting re convene at 5.25pm.
4. Human Rights:
Thakorbhai Parbhu gave report on Human rights and talked about the violation and migrate centre.

5. Constitution Sub Committee Report:
Amritbhai Vasan gave a brief report on Constitution and spoke on the following points.
1. Model Constitution for all branches.
2. By law's.
3. Standing orders.
After a lengthy debate it was agreed by the members to register the Constitution at the earliest possible time.

6. Wider Community Representation:
Detailed report on wider representation was presented by Naginbhai G Patel.

7. Women's Forum Report:

Detailed Women's Forum Report was tabled written by Pushpaben Lekinwala.
Bharatbhai Bhana suggested lettering to all branch association and advise
them on Women's Conference to be held in Rotorua sometime in February 2004.

11. Telephone Directory:
Update was given by the Ashokbhai Darji.
1. Format.
2. Floppy Disk's given to all branch association's.
3. Cover of Telephone Book - Design and guideline.

12. NCEA or Equivalent Award:
Nanubhai(Paul) Patel gave a detailed report on NCEA or Equivalent Award.
Shantiben Parbhu suggested that no SC prize until we have a fair system in place.

13. Next Executive Meeting:
Mid November in Hamilton to be hosted by Waikato Indian Association.

14. General Business:

1.Grievance:
Naginbhai G. Patel gave a report on Grievance to Indian Community.It’s requires more research to be done and also to defer the matter to AGM prior to writing a letter to NZ Government seeking an apology.

2.Customary Adoption:
Naginbhai G Patel spoke on Immigration, Social Welfare and gave a recommendation to the Ministry of Internal Affairs.

Obituary of late Kantibhai Vasan - Amritbhai Vasan on behalf of his family thanked the members for sending the flowers.

15.Vote of thanks:
